Smart Virtual Wards – Hospital to Home Solution
Managing critical medical equipment has often been a challenge for busy clinical teams working in the healthcare community.
AssetVoice™ has been implemented by Provide Community Integrated Care Team (Provide CIC) to track syringe drivers in the Maldon (UK) area, ensuring that this essential equipment is always available and functional when needed.
Key stats within the first 12 weeks
The pilot was so successful that AssetVoice™ became fully adopted during the trial period
7
AssetVoice™ was deployed within 7 days, with minimum training required
50+
AssetVoice™ was being used by 50+ nurses and administrators
100k
AssetVoice™ tracked over 100K hours of asset activity across 35 syringe drivers
What we did
1
Conducted a requirements workshop to thoroughly understand the deployment needs and align the AssetVoice™ use case with Provide CIC’s equipment tracking goals, concentrating on eliminating bottlenecks, minimising admin time, and enhancing operational efficiency
2
Trained Provide CIC staff on the web and mobile version of AssetVoice™
3
The AssetVoice™ team collaborated with Provide CIC staff to co-create customisable workflows, replicating the asset and equipment movement journey within the virtual environment of AssetVoice™
4
Statuses and locations were set up in AssetVoice™
5
Roles and user preferences were set up as per the requirements of Provide CIC
6
Assisted Provide CIC in installing AssetVoice™ app to their team’s android phones and set up accounts.
7
Assisted Provided CIC staff in adding, scanning, and tracking a number of selected sample equipment with success
8
AssetVoice™ achieved full functionality within a week and is running smoothly since, delivering desired results with 50+ users using the AssetVoice™ android app to track syringe drivers (in the first 12 weeks)
What data is stored in AssetVoice™?
- NHS number of patients allocated a syringe driver
- Syringe driver serial numbers
- Dates and times of syringe driver access and allocation
- Email address and name of Provide staff using AssetVoice™
The benefits AssetVoice™ provides
Controlled visibility in the app ensures quick access to syringe drivers, preventing delays in essential medication delivery and enabling rapid intervention during emergencies.
Helps prevent loss or misplacement of valuable medical devices, reducing costs, care delays, and administrative burdens for nurses.
Provides extended traceability throughout the chain of custody, ensuring devices meet safety standards through routine checks.
The intuitive mobile app allows for fast adoption into day-to-day processes, simplifying operations for staff.
AssetVoice™ becomes functional within hours, offering a rapid deployment solution.
Smart inventory management and intelligent resource planning optimise medical equipment allocation.
Tracking devices reduces carbon emissions and travel time by locating the nearest syringe driver, cutting down on retrieval drives.
Ensures equipment reliability by streamlining device retrieval for maintenance, minimising malfunctions during patient use.
Next steps
Due to the success of this implementation, AssetVoice™ has now been expanded to track vacuum pumps with plans to track sepsis kits in future.
There are also plans to implement a reservation process within the app, which will streamline access to essential medical devices, reduce admin tasks, prevent equipment shortages, and improve patient care efficiency.
Click the questions below to see what the nurses using AssetVoice™ said about the software…
Tell us about the challenges you faced locating/managing syringe drivers before you started using AssetVoice.
“Some of the challenges we faced before using AssetVoice™ were patients with syringe drivers being admitted to units at hospices or to a specialised nursing home, and we wouldn’t necessarily know that it was our syringe driver that had gone with them, or if the syringe driver had been switched over or not.
We’ve also had situations where patients with syringe drivers had been admitted to hospital, and we hadn’t been able to locate which ward they had gone to, so we would end up losing the syringe driver.”
How does AssetVoice™ compare to previous methods used for locating/managing syringe drivers?
“We used to have to sign out syringe drivers on a paper sheet and be careful regarding patient details and where we would store the information.
Using AssetVoice™ is straightforward and allows us to identify what driver is where. Rather than manually trying to find the patient and which driver they have, we can identify the driver and what patient it’s assigned to using the AssetVoice™ system.
It’s also great for locating what syringe drivers are available at different bases.”
Do you consider AssetVoice™ easy to use?
“AssetVoice™ is very easy to use, I like that it’s simple in design and there are not too many options/buttons on the interface of the app.
I think it’s a great opportunity to swiftly locate the devices that are added to it, and I look forward to it being utilised for other high cost items that we operate within community nursing services.”
Tell us about a specific time when using AssetVoice™ has had a positive impact on your role.
“AssetVoice™ allows me as a clinician to have confidence to know that when I am commencing use of a syringe driver with a patient, as long as I have scanned the syringe driver, I can feel safe knowing the equipment can be easily located.
Overall, knowing we have the asset data, especially when you consider the cost of syringe drivers, has had a positive impact on my role.”
Has the AssetVoice™ software improved communication/coordination within your team?
“Definitely. We can have the most up to date information on where syringe drivers are, knowing that it was always one of our clinicians that had the last input. We can easily navigate to a clinician to enquire into the whereabouts of a syringe driver and have an accurate view of the last patient it was with.”
Would you recommend AssetVoice™ to other community nursing teams for equipment management?
“Yes, I would. It’s simplistic in design and easy to use but very effective. Beyond our community nursing teams, I think it would be beneficial for other teams that we work with to use, e.g. hospices.”
